You need four things, and you probably already have three of them.

  • Google Calendar (free). Every client is a recurring event. "Ramirez โ€” 9:00, every other Tuesday." Put the address, gate code, and dog's name in the location and notes fields so it is on your phone at the door.
  • Google Sheets or Excel (free). One row per client: name, phone, address, entry method, pets, price, frequency, last raise date, notes. That last column is worth more than any app feature โ€” "hates the smell of lavender," "leave the guest bath alone."
  • An invoice you can send from your phone. Our free invoice template fills in in about 90 seconds. Send it before you leave the driveway.
  • Square or Stripe (free to open). No monthly fee, about 2.9% + 30ยข per card charge. Both let you text a payment link.

Total: $0/month, plus the card fees you would pay in any system anyway.

What this setup does not do: automatic reminder texts, automatic recurring invoices, and route optimization. Those are the three things you eventually pay for. Not the calendar โ€” you already have a calendar.

When free is clearly right

A cleaner in Fort One owner has 11 recurring clients, 24 visits a month. Their whole system is a Google Calendar, one sheet, and Square. Admin takes their about 25 minutes a week, mostly on Sunday night, sending three reminder texts and one invoice they forgot.

A $59/month app would save maybe 15 of those 25 minutes. That is $708 a year to save an hour a month โ€” about $59 an hour to not send texts, when they earn $45 an hour cleaning. The math says no, clearly, and it will keep saying no until their client count roughly doubles.

When free stops working

There are four honest triggers. If none of these is true for you, close this page and go get another client.

  • Admin time crosses about 2 hours a week. At a $45/hr rate, that is $390 a month of your time. A $29 app that halves it is obvious.
  • You pass 20 recurring clients. Rescheduling one person by hand starts breaking three others.

Built only for maid services. That focus shows: the scheduling screen thinks in recurring visits, cleaner assignments, and "did the client leave a key," instead of work orders and parts.

It is the cheapest paid option here and the one that fits a solo cleaner or a two-to-five person team most naturally. Lower plans limit how many cleaners you can add, so check the tier against your actual headcount.

Jobber โ€” $29โ€“229/mo

The general small-service-business tool. Quoting and job-costing are stronger than ZenMaid's, and it handles crews and mixed work types well.

The catch is that it is built for every trade, so a fair amount of what you are paying for โ€” parts, materials, multi-day jobs โ€” is not house cleaning. The entry plan is genuinely cheap, but it caps users and features, and the jump to the next tier is steep.

The most feature-heavy of the three, with real marketing tools โ€” review requests, postcards, email campaigns โ€” and strong dispatching for teams.

It is also the most expensive by a wide margin, and it is aimed squarely at HVAC, plumbing, and electrical companies with several trucks. A solo cleaner will use maybe a quarter of it.

Skip this ifโ€ฆ you are under five cleaners. At $59/mo minimum that is $708 a year, which is roughly four full house cleanings you are working to pay a software bill.

Also worth knowing: Google Workspace โ€” $7/mo, pays us nothing

Not cleaning software. But $7 a month gets you a real email address at your own domain โ€” [email protected] instead of a Gmail address โ€” plus the same calendar and sheets you are already using.

For most cleaners, that $7 does more for how customers see you than a $59 app does. We have no affiliate relationship with Google and earn nothing if you sign up.

Running the numbers on a real upgrade

A cleaner in Sacramento hits 23 recurring clients and 51 visits a month. She is spending about 3 hours a week on scheduling texts, reminders, and invoice chasing, and she got locked out twice last month because clients forgot she was coming. Those two lockouts cost her $310 in visits she could not bill.

And export your client list to CSV before you cancel anything, not after. Once the account closes, that list can be gone.

How to switch without a bad month

If you do upgrade, do it in a slow week, not before a holiday.

  1. Export your client sheet to CSV and save a copy on your phone and your laptop.
  2. Import to the new tool and check five clients by hand โ€” address, price, frequency, entry method.
  3. Run both systems in parallel for two weeks. Your calendar stays the source of truth.
  4. Turn reminder texts on. Tell clients once: "You'll start getting a text the day before โ€” you don't have to reply, it's just a heads up."
  5. Only then stop updating the spreadsheet.

Whichever system you land on, your prices should not change because of it. Software does not make a job worth more. Set those from the pricing guide, and if you are still setting the business up, start with what you need before the first job.
